Clinical Experience has been a major focus for Elentra this summer, with new functionality designed to give programs greater visibility into the people and places that drive placement decisions.
Launching in August 2026, new capabilities make it easier to see what your preceptors and sites have already committed to, what they are currently supporting, and where capacity remains—all within the workflows you already use to manage clinical experiences.
See What Preceptors Are Supervising and Sites Are Hosting
New dedicated Preceptors and Sites views bring all placements booked against a preceptor or site together in one place.
That means coordinators can quickly see how much of a preceptor's or site's capacity is already being used before making the next placement. When a placement falls through, a program director has a question, or a site partner needs an answer, the information needed to respond is immediately available.
The same visibility is built into individual preceptor and site records. A preceptor profile can already contain contact information, agreements, and locations. Now, it also shows the placements they are supporting, making it easier to understand the full relationship without moving between schedules or tracking information elsewhere.
For example, if you are reviewing a preceptor agreement and need to confirm whether current bookings align with it, that information is available on the same record.
Make Placement Decisions with Availability in View
Programs can now also record what a preceptor has agreed to take directly in Elentra.
Availability is maintained against the preceptor rather than a single rotation or academic year, allowing one availability entry to apply across the schedules, rotations, and clinical areas that fall within it.
More importantly, that information appears when placement decisions are being made.
When adding a preceptor to a placement, their availability is displayed alongside any bookings they already have during the same dates, making it easier to see their remaining capacity before assigning another learner. Overlapping bookings are shown whether or not availability has been recorded, so coordinators can always see what else is already on a preceptor's schedule.
Selecting a site also surfaces the preceptors associated with that location, allowing site and preceptor decisions to be made together in the same workflow.
Because availability and bookings are connected to the preceptor rather than an individual schedule, coordinators working across different schedules during the same period are working from the same information. That helps programs make placement decisions with greater confidence, reduce the need to check separate records or ask around, and stay within the commitments their preceptors have made.
These enhancements are launching this week as part of our continued investment in making clinical experience management more visible, connected, and easier to coordinate.
